If we are honest with ourselves, we do not spend as much time worrying about the "what if's" in life as we should. We have enough to worry about going about our daily business and making sure that clients are taken care of and the myriad other supporting elements are as well. A typical computer drive has an enormous amount of information therein, and it is often eye-opening. While we rely on hundreds of different software programs, we need not worry too much about losing these as you can often just download them again or retrieve them from discs. However, all those transactions, files, calculations, spreadsheets and correspondence must be protected.

While it may seem to be a daunting proposition, the best data backup plan you can have will begin with an analysis of all the critical data that needs to be archived. Allocate a period of time to do this and make it a priority. Once you have identified the critical data you can choose an archiving method and then think about a schedule.

In our modern world, e-mail is most definitely the chosen method of communication in business, and we are swamped with incoming mails every day. Unfortunately, we only become aware of how important these are when we are searching avidly for a particular item, maybe due to a legal issue that we have of some kind.

It is unlikely that your office desk is piled high with old papers and files all jumbled one on top of the other, and your digital systems should not reflect this either. Come up with an efficient system to start off with.
